Welcome to Travel Muse Company Inc. (“Travel Muse Co.,” “we,” “us,” or “our”). Thank you for trusting us to bring your family’s travel dreams to life. These Terms & Conditions (“Terms”) outline how we work together, what you can expect from us, and the responsibilities that apply when travel is booked through our services.

By using our website, requesting a consultation, or booking travel with us, you agree to these Terms.


1. About Travel Muse Company Inc.

Travel Muse Company Inc. is an Ontario-registered corporation specializing in curated family and multi-generational travel planning. We act as a professional travel advisor and intermediary between you and independent travel suppliers such as airlines, hotels, cruise lines, tour operators, insurance providers, and destination partners.

We do not own, operate, or control the travel suppliers involved in your booking. Each supplier has its own policies, terms, and conditions, which govern your travel arrangements.


2. Acceptance of Terms

By accessing our website, paying a planning fee, approving an itinerary, or confirming a booking, you acknowledge that you have read, understood, and agree to be bound by these Terms.

If you are booking on behalf of others, you agree you have the authority to accept these Terms on their behalf.


3. Services Provided

Travel Muse Co. provides professional travel planning services, including:

  • Thoughtful consultation to understand your family’s travel needs

  • Research and vetting of trusted travel suppliers

  • Custom itinerary design

  • Booking of flights, accommodations, cruises, tours, transfers and more

  • Pre-trip guidance, document review, and reminders

  • In-destination assistance to the extent permitted by suppliers

  • Post-trip follow-up

All services are designed with intention, care, and a deep understanding of family travel needs.


4. Professional Planning Fee

Travel Muse Co. charges a flat, non-refundable planning fee of $100 per trip.

This fee covers:

  • Consultation

  • Research and supplier vetting

  • Custom itinerary creation

  • Support before, during, and after the trip

This fee:

  • Is separate from supplier costs

  • Must be paid before work begins

  • Is non-refundable even if you cancel or change your trip

  • Is not applied to travel costs or supplier deposits

Additional fees (for changes, cancellations, rush requests, or specialty planning) may apply and will be disclosed in advance.


5. Working With Travel Muse Co.: What You Can Expect

Our planning process keeps your trip organized and stress-free:

  1. Consultation – We discuss your goals, preferences, budget, and must-haves.

  2. Planning Fee & Client Forms – Your planning fee is paid and your traveler information is submitted.

  3. Research & Design – We create curated options aligned with your needs.

  4. Booking & Confirmation – Once you approve selections, we secure your reservations with suppliers.

  5. Pre-Trip Prep – You receive documents, tips, and reminders.

  6. In-Destination Support – We assist with supplier communication as needed.

  7. Post-Trip Follow-Up – We check in and support future planning.


6. Client Responsibilities

To ensure a smooth experience, you agree to:

  • Provide accurate legal names, birthdates, and traveler information

  • Review all itineraries, confirmations, and documents upon receipt

  • Acknowledge and follow supplier rules, terms, and policies

  • Ensure compliance with passport, visa, vaccination, and entry requirements

  • Confirm flight schedules 24–48 hours before travel

  • Make timely payments

  • Purchase travel insurance or acknowledge the risk of traveling without it

  • Many destinations have different living standards, safety protocols, and accessibility than Canada.

  • Hotels require a valid credit card at check-in for incidentals; failure to present one may result in refusal of service.

  • Some countries reserve the right to disinfect aircraft using insecticide sprays per international health regulations.

  • Even with proper documentation, entry into another country is never guaranteed.

Failure to comply with these responsibilities may result in delays, denials, penalties, or cancellation at your expense.


7. Travel Supplier Terms & Conditions

Each travel supplier (airline, hotel, cruise line, tour operator, etc.) has its own terms that govern your travel arrangements. These may include:

  • Baggage rules

  • Check-in times

  • Age or height restrictions

  • Resort fees, gratuities, or security deposits

  • Change, cancellation, and refund rules

  • Supplier service limitations

You are responsible for reviewing and complying with all supplier terms.

Travel Muse Co. is not responsible for decisions, actions, omissions, or service failures of suppliers.


8. Payments, Deposits & Credit Card Authorization

Deposits and Payments

  • All supplier deposits are non-refundable unless otherwise stated by the supplier.

  • Failure to make payments on time may result in cancellation, subject to supplier penalties.

Credit Card Authorization

By providing your credit card information to Travel Muse Co.:

  • You authorize us to charge your card for deposits, supplier payments, and agreed-upon fees.

  • You confirm you have the authority to use the card.

  • You agree not to issue chargebacks for services you authorized and received, including non-refundable deposits or fees.


9. Changes & Cancellations

All change and cancellation requests must be made through Travel Muse Co., not directly with suppliers.

If YOU initiate a change or cancellation:

  • Supplier penalties will apply

  • Additional Travel Muse Co. service fees may apply

  • Non-refundable amounts remain non-refundable

If the SUPPLIER makes a change:

  • Minor changes are normal and not refundable

  • Significant changes are handled per the supplier’s terms

  • Refunds or credits are issued only if the supplier allows them

Travel Muse Co. has no control over supplier decisions.


10. Travel Documents & Entry Requirements

You are responsible for ensuring you have:

  • Valid passports (minimum 6 months validity after return)

  • Required visas

  • Travel insurance (strongly recommended)

  • Parental consent letters for minors

  • Compliance with immunization and health regulations

Travel Muse Co. is not liable for denied boarding or entry due to incomplete or invalid documentation.


11. Force Majeure

Travel Muse Co. is not responsible for any failure or delay in performing our obligations due to events beyond our reasonable control (“Force Majeure Events”). These include but are not limited to:

  • Natural disasters, extreme weather, or environmental events

  • Acts of God

  • War, terrorism, civil unrest

  • Government restrictions, border closures, or travel bans

  • Epidemics, pandemics, or public health emergencies

  • Strikes, labour disputes, or airline/transportation shutdowns

  • Utility, communication, or system failures

  • Supplier insolvency or operational disruption

In these circumstances:

  1. Our obligations are suspended until the event ends.

  2. Refunds and rebooking options are determined solely by the travel suppliers.

  3. We are not responsible for additional costs, losses, or delays.

  4. Travel insurance is strongly recommended to mitigate these risks.


12. Limitation of Liability

To the fullest extent permitted by law:

  • Travel Muse Co. is not liable for supplier errors, omissions, or service failures.

  • We are not responsible for delays, cancellations, missed connections, lost baggage, or dissatisfaction with supplier services.

  • We are not responsible for consequential damages (e.g., missed events, lost income, extra expenses).

  • Our liability, if any, is limited to the amount paid directly to Travel Muse Co. for advisory services, not trip cost.


13. Indemnification

You agree to indemnify and hold harmless Travel Muse Company Inc. from:

  • Claims arising from your breach of these Terms

  • Violations of supplier rules or requirements

  • Chargebacks or disputes related to authorized payments

  • Damages or losses caused by your actions or those of travelers on your booking


14. Privacy

We follow Canadian privacy legislation (PIPEDA).
Your information is collected only to plan and book your travel and is shared only with suppliers as needed.

We do not sell your data.

15. Governing Law

These Terms are governed by the laws of the Province of Ontario.
Any disputes will be handled in Ontario courts.


16. Modifications

We may update these Terms at any time.
Continued use of our services indicates acceptance of updated Terms.
